Experience & Skills:

  • Administrative Experience:Prior experience in an administrative or customer service role is desired.
  • Technical Proficiency:Must be familiar with general office equipment.
  • Strong Communication:Excellent verbal and written communication skills are necessary for professional interaction with clients and staff both in person and over the phone.
  • Organizational Skills & Attention to Detail:The ability to manage high volumes of paperwork, track client data and documentation, and maintain organized records is critical for accuracy.
  • Multitasking & Time Management:The tax season environment is demanding. The candidate must be able to balance multiple tasks, prioritize effectively, and work efficiently under deadlines.
  • Professionalism & Adaptability:A positive, friendly demeanor is needed to greet clients, even when the office is busy or stressful. The ability to integrate quickly into the firm's workflow and adapt to changing priorities is key. 

Typical Job Duties:

  • Greeting and assisting clients in person.
  • Answering and routing high volumes of incoming phone calls.
  • Managing client documentation, including intake, filing, and tracking tax return status.
  • Processing client payments (phone and in-person).
  • Maintaining general office organization.
  • Providing general administrative support to tax staff and managers as needed. 

 

 

Education/Credentials:

  • A high school diploma or equivalent is typically required; an Associate's degree or some coursework in accounting or business can be a plus.
  • No specific accounting certifications (like a CPA license or PTIN) are necessary for a receptionist role, as they will not be preparing tax returns or providing tax advice. 

The ideal candidate is resourceful, solution-oriented, and dependable, helping to ensure smooth client flow and allowing tax preparers to focus on their core work.
